TERMS & CONDITIONS 

STANDARD CELEBRATION CAKE & TREATS (CUPCAKES, CAKE HEARTS ETC) TERMS & CONDITIONS

Reserving The Date: In order to reserve a calendar date for your event; a non-refundable, non-transferable deposit is required. The amount will depend on the total cost of your order. 

 

Decoration and Design: When we discuss your order, you can provide colour swatches, ideas and pictures. It is likely that special designs and most wishes can be incorporated into the design. You are free to make changes to your order (serving size, flavour, colours, etc.) within a reasonable timescale. Changes cannot be accepted at the last minute.

Fresh Flowers and Greenery: If you choose to use fresh flowers and/or greenery on or around your cake, I will be glad to place and arrange them. There will be an additional fee for this service depending on quantity, complexity and time involved. All flowers and greenery are your responsibility and should be chosen carefully with your florist, as not all flowers and foliage are safe to place on an edible cake.

Security Deposit: Cuppa Kaykes requires a security deposit if you require plates, platters, pillars, rentals or any non-edible items in case of damage or items not being returned. Deposit amount will be determined once the design of the cake and items needed has been decided. All items are to be returned to me by 5:00 p.m. within four days of your event. A list of items to be returned will be provided for your convenience. If it is not possible for you or a delegate to return the items, I can make arrangements to retrieve the items for a small fee. The security deposit will be returned in full if all items and equipment are returned clean, in good condition and by the deadline. If items or equipment need to be replaced due to damage or non-return; your security deposit will be retained and you will be billed for the difference of any replacement. The value of any broken or missing pieces will be deducted from your deposit. Because our sets usually cost more than the deposit.

Cancellation: If for any reason, this cake order needs to be cancelled, please notify me as soon as possible. The initial reservation deposit is non-refundable. Any additional monies that have been paid at the time of cancellation will be reviewed on a case-by-case basis determined by circumstance and length of notification. 

​

Damages: Once the cake has been delivered and set up, Cuppa Kaykes is no longer liable for any damages; and the care and condition of the cake becomes your responsibility. There must be someone on site willing to sign disclaimer upon delivery.

Photos:  All photos taken by me remain my property and I retain the rights to post them on social media and online. I will often provide my photos of the cake to you, if you choose to post these online, I ask that you tag me in them. I will NEVER post photos of your treats before your event. 

​

Payments: A deposit is due to secure your order, with the remaining balance due seven days prior to collection/delivery. If you fail to make this payment and ignore subsequent reminders, your order will not be completed and you will not receive a refund for your deposit. Payments are taken via invoice and cash is not accepted. 

​

Allergy Information: Your cake has been prepared in a kitchen where some allergens may be present. Please see label on cake box/s for detailed allergen information.

As I am a home-based business, my kitchen is not a nut-free zone.

 

Storage and Setup: Decorated cakes should not be stored in a refrigerator unless expressly advised. If the cake is not being displayed immediately, it should be stored in the box in a cool room, away from moisture and out of sunlight, in a location where it will not be moved or knocked. It is your responsibility to follow this guidance. 

 

Cutting Guide: In order to ensure your cake produces the required amount of servings, I have enclosed a cutting guide. Please ensure any person cutting the cake follows this. Cakes need to be cut with care, particularly fruitcakes and carrot cakes, which can crumble if not handled carefully.  Use a long bladed, serrated saw knife, which must be sharp; ornamental cake cutting knives used for photos are usually not sharp enough. Use a clean damp cloth to clean and moisten the blade between each cut - this will help stop the knife dragging on the cake crumb. 

 

Shelf Life: Decorated rich fruitcakes will keep for several months, but sponge cakes should ideally be consumed within three days of collection. I advise cupcakes are kept for no longer than three days.

 

Non-edibles/sugar flowers: Most sugar flowers are hand crafted using polystyrene in the centre (to avoid too much weight) and attached to the cake using wires. They should NOTbe eaten and never given to children. All wires are coated in a food-safe wax before insertion to the cake, in accordance with FSA guidelines. You will receive a form outlining any non-edibles when you receive your cake/treats. It is your responsibility to inform your venue or any other persons handling the cake of the non-edibles.

 

Transportation: Cakes should be transported either in the boot of a car or in the passengers footwell (with no persons sitting there) on a non-slip mat, away from direct light or heat. Placing the cake on someone’s lap is NOT sensible or advised and can cause damage to the cake. On a hot day, please put your air conditioning on before collecting.  Care should be taken not to brake too hard, corner too sharply or hit speed bumps too fast.

 

Damages: Your cake leaves Cuppa Kaykes perfectly presented and prepared for travel under the conditions outlined in the ‘transportation’ section of this document. If you fail to store or transport it correctly, Cuppa Kaykes takes no responsibility for that and no refunds will be given. 

 

 

 

WEDDING CAKE ORDER TERMS & CONDITIONS (THESE TERMS ARE IN ADDITION TO THE ONES ABOVE)

 

Reserving The Date: In order to reserve a calendar date for your wedding; a £100.00 (One hundred pounds) non-refundable, non-transferable deposit is required along with the signed contract. 

​

Decoration and Design: When we meet to discuss your wedding cake, please bring colour swatches, ideas and pictures. It is likely that special designs and most wishes can be incorporated into your wedding cake. You are free to make changes to your order (serving size, flavour, colours, etc.) up to six weeks prior to your wedding date. Changes cannot be accepted after this time.

Flowers and Greenery: If you choose to use fresh flowers and/or greenery on or around your cake, I will be glad to place and arrange them. There will be an additional fee for this service depending on quantity, complexity and time involved. All flowers and greenery are your responsibility and should be chosen carefully with your florist, as not all flowers and foliage are safe to place on an edible cake. I will not be responsible for anything non-edible added to your cake. It will be your responsibility to make sure the flowers are delivered to the reception location prior to the cake being delivered and set up; and I will not place flowers if prior arrangements have not been made.

Cancellation: If for any reason, this cake order needs to be cancelled, please notify me as soon as possible. The initial £100.00 reservation deposit is non-refundable. Any additional monies that have been paid at the time of cancellation will be reviewed on a case-by-case basis determined by circumstance and length of notification. If this order is cancelled within two weeks prior to the wedding date – no payments or deposits will be returned.

Failure To Deliver: In the case of an unforeseen emergency (auto accident; hospitalisation; death in the family, etc.), I will do my best to provide a “dummy” decorated cake for pictures and sheet cakes provided to serve your guests. In the unlikely event that this would happen, a partial refund would be issued. 

Damages: Once the cake has been delivered and set up, Cuppa Kaykes is no longer liable for any damages; and the care and condition of the cake becomes your responsibility. There must be someone on site willing to sign disclaimer upon delivery.

Photo Release: By signing this contract, you give me permission to use pictures of your cake for advertising and promotional purposes. These pictures may be provided by you or I may take my own pictures following set up of the cake. I will never publish pictures before your wedding has taken place. 

​

Payments: Payment is due in full six weeks prior to your wedding. Payments may be made by cash or bank transfer. I will send a reminder one week before the final balance is due. If payment in full has not been received two weeks prior to the wedding, I reserve the right to cancel your order. 

​

Delivery: You will be responsible to make sure your reception location is open and accessible at the agreed upon delivery time to allow for covering and decorating your cake table. You are responsible for providing any cake table decorations, of which I am happy to set up if provided. You will need to make sure all flowers, cake knife, forks, plates, napkins, cake topper, etc. are available to complete the table set up. There will need to be someone present at the venue to sign a delivery disclaimer for the cake following setup.
